Project Invoice Coordinator - RAK

Key Responsibilities:
Invoice Management:
Prepare, review, and submit progress claims and invoices to clients in accordance with contract milestones and terms.
Validate supporting documentation such as timesheets, delivery dockets, and work completion records.
Track invoice submissions and approvals to ensure timely payment.
Subcontractor and Vendor Coordination:
Verify subcontractor invoices against purchase orders, progress reports, and site records.
Coordinate with site supervisors to confirm scope completion and variations.
Assist in resolving invoice discrepancies or disputes.
Project Controls & Compliance:
Maintain invoice registers, cash flow forecasts, and billing status reports.
Ensure compliance with contract conditions, financial policies, and audit requirements.
Monitor project budgets and alert relevant teams of any billing anomalies or delays.
Stakeholder Communication:
Collaborate with project managers, cost controllers, procurement, and finance teams.
Interface with client representatives for invoice approvals and commercial reporting.
Provide regular status updates and reports to management.
Education & Experience:
Bachelor's degree in Business Administration, Finance, Accounting, or related field.
Experience in invoicing, accounts, or project coordination on construction, mining, or infrastructure projects.
Experience with site-based roles and familiarity with construction environments.
Skills & Competencies:
Strong attention to detail and excellent numerical accuracy.
Knowledge of contractual invoicing terms and construction payment processes (e.g., progress claims, retention, variations).
Proficient in ERP systems (e.g., SAP, Oracle, JD Edwards) and MS Office Suite (especially Excel).
Ability to work under pressure and meet tight deadlines on-site.
Other Requirements:
Willingness to work in a remote or site-based location.
Understanding of safety and operational requirements on mining/construction sites.
