We’re seeking a Project Administrator/Scheduler to support the safe, efficient, and reliable operations of the North Queensland Gas Pipeline.

As the Project Administrator/Scheduler, you will be at the heart of managing day-to-day field operations, ensuring that maintenance and operational tasks are allocated and executed smoothly and efficiently. Acting as a vital link between field teams, leadership, and support services, you’ll oversee everything from planning and scheduling to administrative and financial support, contractor onboarding, and reporting. Success in this role requires exceptional organisational skills, the ability to manage multiple priorities, and a proactive, safety-first mindset. What you’ll do

  • Provide high-level administrative, financial and procurement support to field operations.
  • Coordinate and schedule daily field maintenance and operational activities.
  • Oversee document control, procurement processes and compliance with quality systems.
  • Manage work orders and cost allocations.
  • Coordinate with stakeholders to ensure the Pipeline Management Plan is followed.
  • Manage contractor onboarding processes through Rapid Global.
  • Ensure reporting and compliance obligations are met accurately and on time.
  • Support continuous improvement and contribute to long-term asset maintenance strategies.
  • Maintain office operations, cost saving initiatives and foster team collaboration.

What you’ll have

  • Experience in a similar coordination or scheduling role within the energy, utilities, construction, or infrastructure sectors.
  • Strong administrative and financial acumen, including experience with procurement and work order systems (e.g. AX).
  • Excellent communication skills and the ability to liaise confidently with field teams, contractors, and leadership.
  • A strong understanding of safety, compliance, and reporting obligations in operational environments.
  • Proficient in Microsoft 365, including OneNote, MS Project and SharePoint.
  • Experience in CMMS/maintenance systems for planning and scheduling tasks.
  • Familiar with “Before You Dig Australia” and contractor management systems (e.g., Rapid – preferred).
  • Procurement experience with technical specs, quoting, POs, receipting, and inventory.
  • Strong understanding of planning, scheduling, project management, and field operations.
  • A commitment to safety: HSE planning, leadership, and compliance.
  • Knowledge of working with Acts, regulations and standards.
