As an Office Services Manager, you will be responsible for managing all of the day-to-day office and facilities services and functions and implement Worley policies and safety procedures for the Western Australian offices/storage facility (240 St Georges Tce, Bunbury, Osborne Park and its subsidiaries. Additionally, to support the Location Management team to deliver an exceptional employee and customer experience.

What you’ll do
We’re looking for an Office Services Manager to join our Perth team.
The role responsibilities include:
- Liaise with project managers and administrators at each location on an ongoing basis to ensure that all building maintenance issues are reported and resolved in a timely manner.
- Lead and manage project office set ups/relocations based on requirements.
- Ensure any third-party contractors or service providers adhere to Worley’s safety standards and procedures and have provided insurance certificates, JHA’s (safe work method plan), completed a building induction and have obtained prior building management approval.
- Ensure contractor works are executed on time, on budget and to scope.
- Manage/review supplier service levels for the location i.e. (stationary, plants, cleaning, kitchen supplies, etc).
- Report and co-ordinate any building related maintenance/repair requests to the relevant building owner/agency received via the facilities inbox.
- Perform weekly floor walks of 240 St Georges Tce, to ensure the floors are clean and free of hazards and report any maintenance or other issues to building owner/agency and Assurance (as required).
- Coordinate any preventative maintenance works as required (i.e., annual testing & tagging, Supplementary air-conditioning unit maintenance, fire equipment testing etc.).
- Attend team meetings as required and meet with building management representatives on a regular basis.
- Lead and co-ordinate the logistics for all internal/external relocations.
- Ensure office floor plans are updated regularly across the business and coordinate any updates in consultation with the Leadership Team.
- Provide regular occupancy reporting to the business to ensure efficient use of the space.
- Review purchasing expenditure within the location to ensure spend is managed within budget.
- Ensure all aspects of building works are correctly scoped and budgeted in line with the company Procurement policy and approved by the Property Leasing Manager Asia Pacific and WA Location Director.
- Upon receipt, review, code and submit all supplier invoices to the Shared Services Centre (SSC) in a timely manner and upload invoices on the Facilities Teams site.
- Ensure any new vendors complete the SSC supplier forms, prior to engagement.
- Ensure People Group mobilisation and demobilisation forms for all facilities related items such as security passes, car parking & lockers are actioned in a timely manner.
- Alongside HR, Admin & IT, arrange all facilities requirements for new starters.
- Attend inductions of all new staff and provide overview on facilities.
- Manage the office front of house receptionist(s) team ensuring the delivery of high standards of professionalism expected of the Worley brand and to deliver an exceptional employee/customer.
- Liaise closely with the internal stakeholders, ensuring the office/working environment is safe and compliant.
- Co-ordinate fire wardens for each floor and fire drills as required by building management.
- Ensure all floor first aider lists and equipment are up to date and all first aid kits are re-stocked regularly.
- Upload Energy Consumption data into the “Envizi system” to ensure monthly electricity usage is recorded for all properties.

- Certificate or accreditation in facilities management (desirable).
- Ensure compliance of all Assurance/HSE systems, processes and procedures through the training, competence and performance of all personnel (Worley and others).

- Strong skills in MS Suite, particularly MS Excel, Word,PowerPoint and experience with office management software such as HotDesk+, OfficeSpace, etc. (preferred).
